The Health Information Management System Technician (HIMS Technician) is responsible for the electronic and paper medical record management within Marin Community Clinics.  The HIMS Technician provides timely and accurate medical record services and safeguards our patient’s records in compliance with our Company policy and HIPAA regulations. Our mission to promote health and wellness through excellent, compassionate care for all guides our work every day.  The position will perform the following tasks within the clinics and/or central HIMS location.

 

This position supports other clinics HIMS department in Marin County (San Rafael and Novato CA) by providing coverage as a "float" technician. Support will be determined based on staffing needs & workload.

Responsibilities

  • Process the Authorizations for Release of Health Information (ROI) for all Medical and Dental sites
  • Safeguard and protect the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical/dental information. Verifying Release of Information documentation is in compliance with the request, authorization, company policy, and HIPAA regulations.
  • Daily rounds of picking up documents from front office and pods. Successfully uploading batches to drive for SmartFiler scanning.
  • Daily rounds of document drop off at clinic pods.
  • Successfully interacts and communicates with clinical staff to assist with deficient and delinquent medical record completion.
  • Respond to requests and releases patient information to persons or agencies in strict accordance with Company policy and HIPAA regulations.
  • Ensures only appropriate information is faxed to outside medical/dental facilities.
  • Act as liaison between third party vendors processing requests covered by agreements and Business Associate Agreements (BAA) with MCC.
  • Retrieve paper and electronic faxes. Faxed are distributed, scanned and/or actioned as necessary.
  • Works collaboratively with other departments.
  • Manual scanning of documents into patient charts, ensuring accuracy and appropriateness of information.
  • Locates and extracts pertinent information from medical/dental files as requested.
  • Merge duplicate patient records.
  • Process tasks received via inbox from Nurses, MA’s, and Physicians etc.
  • Take telephone calls and assist with HIMS related phone calls.
  • Assist in pre-visit prep for patients which may include, but is not limited to, printing hospital records.
  • Contributes as part of the team ensuring all departmental tasks are done and completes other projects assigned by supervisor.
  • Support other clinics HIMS dept. in Marin County (in San Rafael and Novato CA) by providing coverage as a "float" technician. Support will be determined based on staffing needs & workload.
  • Perform other duties as assigned.

Qualifications

Education and Experience:

  • High School Diploma or Equivalent (GED) required.
  • Past work experience in a healthcare environment preferred.
  • Past work experience in an office environment preferred.
  • Previous experience with the Electronic Health Records (EPIC) preferred.
  • Previous experience and proficiency with Health Information Management Systems and protocols preferred.

Required Skills and Abilities:

  • Proficiency in Microsoft Office (Word, Excel, Outlook) is required.
  • Strong and accurate data entry skills.
  • Must be able to effectively communicate in English verbally and in writing.
  • Must be able to work in fast pace medical environment.
  • Excellent teamwork and customer service skills.
  • High level of initiative and ability to follow through on assignments.
  • Must be able to work well independently and/or in groups.
  • Ability to recognize problems, offer solutions and seek help when necessary.
  • Follow verbal and written instructions and carry out directions.
  • Excellent attention to detail and ability to identify errors and correct them.
  • Must have reliable transportation.

Physical Requirements and Working Conditions:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Use of mouse, keyboard and headset.
  • Moderate to loud noise and intermittent interruptions.
  • Must be able to lift up to 15 pounds at times.
