Overview

Marin Community Clinics, founded in 1972, is today, a multi-clinic network with a wide array of integrated primary care, dental, behavioral, specialty and referral services. As a Federally Qualified Health Center (FQHC), we provide vital health services to almost 40,000 individuals annually in Marin County. The Clinics regularly receive national awards from the Health Resources and Services Administrations (HRSA). Our Mission is to promote health and wellness through excellent, compassionate care for all.

 

Supervises work and performance of dental clinic staff, including Front Office Receptionists, Dental Assistants, and Registered Dental Assistants. Maintains patient flow for quality dental care services and efficient use of dental clinic staff; Assists with dental clinic scheduling, problem solving, patient waiting time, etc. to increase efficiency and quality of services. This position will report to the Senior Dental Operations Director.

Responsibilities

  • Ensure smooth flow and timeliness in delivery of patient care in the assigned dental clinic.
  • Ensure that all personnel follow appropriate procedures related to patient registration, appointment scheduling, patient flow, collection of fees and organization and distribution of dental records and documents.
  • Assist with referrals to dental specialists, follow up after missed appointments.
  • Participate in quality improvement activities, including OSHA and dental regulations.
  • Direct and assist with training of front desk leads and work with the RDA Leads to ensure a smooth clinic flow and accountability.
  • Assist with clinic scheduling and problem solving to minimize patient waiting time, and to increase efficiency and quality of dental services.
  • Assist subordinate supervisors/leads to select, train and orient new employees.  Recommend increases, promotions and disciplinary action.
  • Identify and promote programs for clinic staff development.  Coordinate in-service training.
  • Oversee scheduling of clinic personnel and coordinate vacation request and approval process.
  • Regularly analyze office operations and develop solutions to clinic operation issues.
  • Coordinate and oversee agency-wide office supply inventory and ordering process.
  • Develop procedures to improve clinic management, including design of new clinic forms and processes.
  • Prepare weekly visit reports and other administrative reports, as requested.
  • Assist in DENTRIX and Practice Management system as it relates to use of computers and technology to support dental clinic operations.
  • Monitor and update administrative policy and clinic procedures manual.
  • Direct, forecast and analyze special projects. E.g., proposed facility improvements, equipment purchases.
  • Oversee and direct maintenance of the assigned dental facility, grounds and office infrastructure.
  • Maintain contracts with all outside vendors including Henry Schein, security and housekeeping.
  • Monitors the dental records (HIMS) function to ensure the completeness and ready availability of patient records.
  • Participate in professional development activities to keep current on health administration trends and practices.
  • Attend staff meetings and other management meetings as needed.
  • Settles patient complaints when possible and reports resolution to Sr. Manager of Dental Clinic Services, Associate Dental Director and/or Chief Dental Officer.
  • Other duties as assigned.

Qualifications

Education and Experience:

  • Bachelor’s Degree in Life Sciences is preferred.
  • Previous experience supervising non-exempt and professional staff is necessary as this position will have responsibilities for staff management and development, financial accountability of the clinic, quality control and patient relations.
  • A strong background in management, customer service and budgeting.
  • Prior administrative and supervisory experience in a clinic, dental office or healthcare setting.
  • Knowledge of Dentrix is preferred.
  • Experience with EPIC Electronic Health Records preferred.
  • Familiarity with dental insurance plans.

 Required Skills and Abilities:

  • Flexibility to work occasional evening and weekend shifts.
  • Computer skills (Word, Excel, PowerPoint).
  • Demonstrated commitment to high quality health care for low income populations.
  • Demonstrated ability to assume responsibility and to work independently and to work well on a team.
  • Versatility, flexibility and a willingness to work with constantly changing priorities, and with enthusiasm.
  • Ability to deal effectively with a diversity of individuals at all organizational levels and with patients, staff and visitors.
  • Bilingual English/Spanish is preferred.

 Physical Requirements and Working Conditions: 

  • May be required to occasionally lift at least 20 – 25lbs.
  • Prolonged standing, walking and working on a computer.
