This position reports directly to the Medical Operations Director. The Medical Staff Coordinator is responsible for maintaining all medical providers’ work schedules, including timecard record keeping and other related projects as assigned.
Documenting work time in preparation of payroll, managing time off requests and PTO availability and managing CME requests and availability for MCC clinicians.
Manage the use of the practice management system including, but not limited to: Opening schedules, creating visit templates, blocking shifts as necessary.
Responsible for publishing and maintaining the clinician and nursing staff schedules in QGenda, the online scheduling software, in order to accurately track PTO and CME requests and work attendance.
Create and distribute Saturday clinic schedule.
Create and distribute adult after hour’s pager rotation.
Create and distribute MCC’s pediatric hospital rounds schedule on a monthly basis.
Work closely with the Chief Medical Officer and Clinic Medical Directors to track and manage schedules and clinician administrative needs.
Other duties as assigned by Medical Operations Director.
High School Diploma is required. Bachelor’s Degree or some college is preferred or equivalent experience.
2 years + experience in a similar role or Coordinator for a health care facility or experience as a secretary, administrative assistant, customer service or equivalent experience.
Proficient with Microsoft Outlook (Calendar, Email, and Contacts), Microsoft Office (Word, Excel, Access, Power Point, and Publisher) and has the ability to learn other software and databases as requested.
Experience with NextGen EPM a plus, but not required.
Demonstrated ability to communicate effectively and professionally in writing and orally.
Requires high level of initiative, attention to detail and the ability to follow-through on assignments to completion.
Excellent judgment to alert Chief Medical Officer of any matters requiring immediate attention.
Demonstrated ability to handle multiple, competing and varied tasks and manage the flow of work successfully.
Ability to prioritize assignments and as needed to communicate with the Directors to ascertain priorities.
Demonstrated ability to perform according to standard business practices including administration tasks, postal and electronic mailing, and filing.
Excellent, professional interpersonal and telephone skills.
Previous marketing/publishing support experience is also highly preferred.
Word processing skills should be at a minimum of 45 words per minute.
